College of Computer Science and Information Technology (COCSIT), Latur is committed to maintaining a transparent, student-friendly, and fair admission process. In accordance with the UGC Fee Refund Policy from academic session 2024–25, the college allows eligible students to seek refund of fees in cases of admission cancellation, withdrawal from the program, or migration to another institution, subject to the timelines and conditions prescribed by the University Grants Commission.
This policy applies to all students admitted to undergraduate and postgraduate programs offered by the college. The purpose of this policy is to ensure that students and parents are clearly informed about refund eligibility, applicable deductions, and the process to be followed for seeking a refund.
Students who cancel their admission or migrate to another institution on or before 30 September of the academic year are eligible for a 100% refund of fees paid. This means the entire fee deposited at the time of admission is refundable within this period, in line with the UGC directions.
For students who submit a request for cancellation or withdrawal from 1 October to 31 October of academic year, the refund shall be processed after deduction of Rs. 1,000 as processing charges. This deduction is the maximum permissible deduction under the UGC policy for this period.
If the admission schedule for a program extends beyond 31 October, the refund will be governed by the UGC Notification issued in October 2018 relating to refund of fees and non-retention of original certificates. Under that framework, the amount refundable depends on how early or late the withdrawal request is submitted in relation to the formally notified last date of admission.
Students seeking cancellation of admission and refund of fees must submit a written request to the college office or admission section in the prescribed format, along with the admission receipt, proof of admission, identity details, and bank account information for remittance of the refund amount. The date on which the college receives the application for cancellation or withdrawal shall be treated as the effective date for deciding the student’s eligibility for refund.
Before the refund is processed, the student may be required to complete necessary formalities such as returning the identity card, library card, hostel allotment documents, or any other material issued by the college, wherever applicable. These procedural steps, however, do not override the refund entitlement available under the applicable UGC policy.
The college shall not retain original academic or personal certificates of students at the time of admission withdrawal, except where specifically permitted under law. The UGC introduced the framework on refund of fees and non-retention of original certificates to prevent coercive and unfair admission practices and to protect students’ freedom to choose institutions.
The UGC has also recognized delay in, or denial of, fee refund to an eligible student as a student grievance under the applicable grievance redressal framework. Students who face difficulty in obtaining a legitimate refund may approach the college grievance redressal mechanism for resolution.
